A Brand Space is one domain and everything Ranksmile knows about it. You create one per site you are responsible for.
Nothing crosses between spaces. Keywords tracked in one do not show up in another, a crawl belongs to the space that ran it, and an article scored in one client's space is invisible in the next. That isolation is the point: it is what makes the numbers readable when you are running ten of them.

Who changed what across your spaces, from articles published or deleted to members and sites added or removed, is recorded once for the whole organization, in Logs in your organization settings.
How many you need
One per domain. If you own a single site, one space is the whole product.
If you manage several brands under one company, resist the urge to put them in one space. Tracking several brands' keywords in one space makes the data harder to read, not easier: a position that moved is suddenly ambiguous about which brand moved, and content scores compare pages against the wrong competitive set.

Setting one up
You need two things: the domain, and access to its Search Console property.
Search Console is optional in the sense that the product works without it, but Performance stays empty until you connect it, and performance data is what gives the rest of the numbers context. Connect it on day one, because the history it pulls in is more useful the longer it has been there.
For agency work, ask the client for Search Console access before you create the space. It is the step most likely to take a week of waiting, and everything else is faster once it is done.
Switching between them
The space you are in is shown at the top of every module, and switching carries you to the same module in the new space rather than dropping you at a dashboard. When you are comparing the same report across three clients, that is the difference between three clicks and nine.
